Quilt Show Volunteers Needed, and Duties

Volunteer shifts are:
Friday 8:30am-11pm, 11-1pm, 1-3pm, 3pm-5pm
Saturday 8:30am-11pm, 11-1pm, 1-3pm
Shift times may vary depending on responsibility.

Those setting up the show on Wednesday and Thursday, and taking down the show on Saturday will have different hours than shown above.

PRE-SHOW (9 volunteers each day):
Wednesday afternoon: unload and clean racks.
Thursday morning: set up racks and sheets. Hanging quilts. These jobs are very physical.

ADMISSION (3 each shift): Collects admission, stamps hand, provides programs, handout door prize tickets. This job is done seated.

VOLUNTEER ORGANIZATION (1 each shift): Check in volunteers prior to shift, provide name badges (already printed), collect badges from volunteers, contact members to fill openings. This job is done seated.

WHITE GLOVE (4 each shift): Assist visitors with viewing quilts, mentions quilt special features, etc. This job is done mostly standing and walking.

DOOR PRIZES (2 each shift): Give out door prizes. Most of this job can be done while seated.

SILENT AUCTION (2 each shift): Making sure anyone wishing to bid fills out a registration sheet and gives it to you, managing bid sheets (first bid must be at or above the minimum bid. Bids must be in increments of $1 or more), making sure items are not removed from their packaging, keeping food and drinks out of the bid area, finalizing bids, answering questions, collecting money and awarding blocks. This job may be done with a combination of sitting and standing/walking, and is not strenuous.

FABRIC SALE (2 each shift): Manage selling fabric by the pound. This job is done seated.

HOSPITALITY (2 each shift): Help vendors by getting their lunch orders and delivering food to them. Clean up snack areas at end of day. This is a walking and standing job.

BOUTIQUE (2 each shift): Manage items donated for sale.

QUILT RAFFLE (2 each shift): Sell raffle tickets.

AFTER SHOW (Saturday at end of show, 9 people): Take down racks and sheets used for hanging quilts and load them and other supplies on a trailer. Put away tables. This job is very physical.

QUILT SHOW VOLUNTEER RESPONSIBILITIES

Here is a list of the volunteer jobs before, during and after the show. People are generally scheduled in two-hour shifts.  People may work one or both days, one or more shifts.  Please plan time for lunch.

SHOW FLOOR RULES While working a shift anywhere at the show, no food allowed!   Never count the contents of the cash box at the table! Don’t stack or organize the bills under the tray. The less contact the better.  The Public doesn’t need to see the contents of the cash box!   We have a secure process for handling, counting and recording cash. 

QUILT RACKS – PICKUP AND RETURN  On the Wednesday before the show, a team of six people will unload the trailer and take the racks into a designated room at the church. On Saturday, once the quilts come down, and the racks are disassembled, the team will load the trailer. Grab a grand kid, 16 and up.  Not for little kids. If you are an active person, this is a good hour work out.

QUILT COLLECTION AND RETURN This team is responsible for receiving and returning the quilts to be displayed in the show. This happens the Wednesday and Thursday before the show.  You’ll be taught the check in process, provide a receipt and how to correctly place the quilt in order to build the show display.  The Quilt Hanging team will bring the quilts to the return area.  Membership may pick up their quilts around 5 pm. Learn the process to return quilts to their owners.

HANGING QUILTS This team follows the design to hang the quilts in the correct order.  Use a step stool or ladder to secure the quilts to pants hangers and hang the quilts.  May help the collection team place quilts in the correct cubicle for display.

ADMISSIONS The Admissions table is busy.  This team is responsible for meeting and greeting guests.  One person will sell admission tickets and make change. One person will stamp hands.  One person hands out raffle tickets and programs.  Everyone answers questions. No one, absolutely no one counts money at the admission table! 

HOSPITALITY This team will take vendor orders for lunch, pick up and distribute. Help stock pop and water for vendors and volunteers. Snacks may or may not be involved.  Make sure water is available for volunteers working teardown after the show.

VOLUNTEER CO-ORDINATOR / NAME BADGES Volunteers coming into the show may pick up their name badges while working their shift.  The person at this table will have a list of volunteers and their assigned positions.

SILENT AUCTION Help the chair answer questions about items up for bid.  When bidding closes, help identify winning bids and contact the people to pick up their items.  The Silent Auction uses Square for credit card processing. Some volunteers may take payment. ID required for any checks written. No one counts money on the show floor.

DOOR PRIZES  Check for a symbol on the back of the ticket and direct guests to the correct selection to pick their prize.  Restock as directed by the chair.

FABRIC SALE Volunteers will weigh items, calculate sell price and make change for guests.  Straighten items and restock as directed by the chair.  As always, no one counts money on the show floor!

RAFFLE TICKETS Help the chair sell tickets and make change.  Answer questions about the raffle quilt, show and Genesee Star Quilters.  Remember, no one counts money on the show floor.

STARS BOUTIQUE Help the chairs sell items and restock as directed.  Square will be used for credit card sales.  ID required for all checks written. The chairs will explain how to remove item tags and record the sale. No one counts money on the show floor.

VENDOR ASSIST LOAD / UNLOAD Vendors may arrive on Thursday or early Friday morning before the show opens.  Help them move product from vehicles to their show space. On Saturday, help them load their vehicles after the show closes.  The Vendor Chair will have a map and all vendor tables will clearly be marked.

CLEANUP AND TRASH Help this chair monitor trash, clear and replace trash bags as needed.  Grab a broom if needed.  We want to leave the venue better than we found it.

WHITE GLOVE may be the most fun job at the show. Wear a white glove, in order to pick up a corner of a quilt to show off the back.  Remember, guests are asked never to touch the quilt.  If you enjoy talking with people, this may be the job for you!  Stroll around the show, or pull up a chair and visit.
